Manage Student Records

Comprehensive management of student data including personal information, academic history, and documentation.

Time Required: Varies by task Module: Core User Role: Student Manager, Admin


Overview

Student records contain:

  • Personal and contact information
  • Academic enrollment history
  • Attendance and grades
  • Fee payment history
  • Documents and certificates
  • Health records
  • Activity participation

Access Student List

  1. Go to OpenEduCat > Student > Students
  2. View all students in list or kanban view
  3. Use filters and search to find specific students

Search Options

Create New Student Record

Step 1: Click Create

  1. From Students list, click Create
  2. Fill in required information

Step 2: Enter Basic Details

Step 3: Complete Enrollment

  1. Navigate to Courses tab
  2. Add course enrollment
  3. Save the record

  • Name and basic info
  • Identification numbers
  • Nationality and category
  • Profile photo

Contact Tab

Contains:

  • Email addresses
  • Phone numbers
  • Current address
  • Permanent address

Courses Tab

Contains:

  • Current enrollments
  • Course history
  • Roll numbers
  • Batch assignments

Parents Tab

Contains:

  • Parent/guardian contacts
  • Relationship type
  • Emergency contacts

Documents Tab

Contains:

  • ID cards
  • Birth certificate
  • Previous certificates
  • Uploaded documents

Health Tab

Contains:

  • Blood group
  • Allergies
  • Medical conditions
  • Emergency info

Fees Tab

Contains:

  • Fee structure
  • Payment history
  • Outstanding dues
  • Scholarships applied

Export Student Data

Export to Excel

  1. Go to Students list
  2. Apply filters if needed
  3. Click Action > Export
  4. Select fields to export
  5. Download Excel file

Import Students

Bulk Import

  1. Go to Students > Import
  2. Download template file
  3. Fill in student data
  4. Upload completed file
  5. Map columns
  6. Click Import

Archive Students

Archive Inactive Student

  1. Open student record
  2. Click Action > Archive
  3. Student is hidden from active lists

View Archived Students

  1. In Students list, click Filters
  2. Enable Archived filter
  3. View and restore if needed

Troubleshooting

Duplicate student entries

Problem: Same student appears twice.

Solution:

  1. Identify duplicate records
  2. Merge records using merge wizard
  3. Or archive the duplicate

Missing student in lists

Problem: Cannot find student.

Solutions:

  1. Clear all filters
  2. Check archived filter
  3. Search by admission number
  4. Verify user access permissions

Cannot delete student

Problem: Delete option not available.

Solution:

  • Students with transactions cannot be deleted
  • Archive instead of delete
  • Only admins can force delete
