Configure payment plan options for student fee installments.

Overview

Fee plans enable:

• Splitting fees into installments
• Flexible payment schedules
• Automated payment reminders
• Late fee management
• Payment tracking per installment

Prerequisites

Before creating fee plans:

• Fee structures defined
• Academic calendar configured
• Late fee policies defined
• Payment methods configured

---

Create Fee Plan

Step 1: Navigate to Fee Plans

1. Go to OpenEduCat > Fees > Fee Plans
2. Click Create

Step 2: Enter Plan Details

Field	Description	Example
Name	Plan identifier	”Quarterly Payment Plan”
Code	Unique code	”FP-QTRLY”
Description	Plan details	”4 quarterly installments”
Fee Structure	Linked structure	”BCS Annual Fee 2025”

Step 3: Configure Plan Type

Type	Description
Fixed Installments	Equal amounts
Percentage Based	Percentage per installment
Custom Amounts	Different amount each

Step 4: Set Late Fee Policy

Setting	Description
Grace Period	Days after due date
Late Fee Type	Fixed or percentage
Late Fee Amount	Fee charged
Max Late Fee	Cap on late charges

Step 5: Save Plan

Click Save to create the fee plan.

Configure Installments

Add Installments

1. Open fee plan
2. Go to Installments tab
3. Click Add a line

Installment Details

Field	Description	Example
Sequence	Order number	1, 2, 3, 4
Name	Installment name	”First Quarter”
Due Date	Payment deadline	2025-08-15
Amount	Fixed amount	25000
Percentage	OR percentage	25%

Example: Quarterly Plan

Example: Semester Plan

Set Dynamic Due Dates

For relative dates:

Setting	Description
Days After Enrollment	X days from enrollment
Days After Previous	X days after last due
Fixed Date	Specific calendar date

Assign Plans to Students

Individual Assignment

1. Go to OpenEduCat > Students
2. Open student record
3. Go to Fees tab
4. Click Assign Fee Plan
5. Select plan from dropdown
6. Click Confirm

Bulk Assignment

1. Go to OpenEduCat > Students
2. Filter and select students
3. Click Action > Assign Fee Plan
4. Select plan
5. Click Apply

Default Plan per Batch

1. Go to OpenEduCat > Course > Batches
2. Open batch
3. Set Default Fee Plan
4. New students auto-assigned

Track Payments

View Installment Status

1. Go to OpenEduCat > Fees > Student Fees
2. Open student fee record
3. View Installments tab:

Amount	Due amount
Paid	Amount paid
Balance	Remaining
Status	Pending/Paid/Overdue

Payment History

1. Open student fee record
2. Go to Payments tab
3. View all payments against installments

Overdue Installments

1. Go to OpenEduCat > Fees > Reports > Overdue Fees
2. Filter by date range
3. View students with overdue installments
4. Take action (send reminders, apply late fees)

Troubleshooting

Installments not totaling correctly

Problem: Sum of installments doesn’t match total fee.

Solutions:

1. Verify percentage totals 100%
2. Check for rounding errors
3. Review custom amounts sum
4. Adjust final installment

Late fee not applying

Problem: Overdue installments without late fee.

Solutions:

1. Verify late fee policy is configured
2. Check grace period hasn’t passed
3. Ensure late fee type is set
4. Run scheduled job manually

Cannot modify assigned plan

Problem: Cannot edit plan already assigned.

Solutions:

1. Unassign from students first
2. Create new version of plan
3. Archive old plan
4. Assign new plan

Student missing installments

Problem: Installments not showing for student.

Solutions:

1. Verify fee plan is assigned
2. Check fee structure amount set
3. Regenerate installments
4. Review assignment date
