Manage Faculty Members

Add and manage faculty/teacher records in OpenEduCat.

Time Required: 10 minutes per faculty member Module: Faculty User Role: HR Admin, Academic Admin

Overview

Faculty management includes:

  • Faculty profile creation and maintenance
  • Subject and course assignments
  • Workload tracking and management
  • Portal access for self-service

Add New Faculty

Step 1: Navigate to Faculty

  1. Go to OpenEduCat > Faculty > Faculty
  2. Click Create

Step 2: Enter Basic Information

Step 3: Add Qualifications

  1. Go to Education tab
  2. Click Add a line
  3. Enter qualifications:

Step 4: Upload Documents

  1. Go to Documents tab
  2. Upload:
    • Photo ID
    • Degree certificates
    • Experience letters
    • Resume/CV

Step 5: Save

Click Save to create the faculty record.


Assign Subjects

From Faculty Record

  1. Open the faculty record
  2. Go to Subjects tab
  3. Click Add a line
  4. Select:
    • Course
    • Subject
    • Batch (optional)

From Subject Record

  1. Go to OpenEduCat > Courses > Subjects
  2. Open the subject
  3. Set Faculty field
  4. Save

View Faculty Load

The Subjects tab shows all assigned subjects with:

  • Subject name
  • Course
  • Weekly hours
  • Total students

Faculty Portal Access

Create Portal User

  1. Open the faculty record
  2. Click Action > Grant Portal Access
  3. Select portal access level:
    • Basic: View schedules
    • Standard: Manage attendance, grades
    • Full: All faculty features

Portal Features

Faculty can access:

Reset Portal Password

  1. Open faculty record
  2. Click Action > Reset Password
  3. Faculty receives email with reset link

Faculty Workload

View Workload

  1. Go to OpenEduCat > Faculty > Faculty Workload
  2. Select faculty member
  3. View:
    • Teaching hours per week
    • Subjects assigned
    • Batches handled
    • Student count

Workload Report

  1. Go to OpenEduCat > Reports > Faculty Workload
  2. Select filters:
    • Department
    • Date range
  3. Click Generate

Workload Limits

Configure maximum teaching hours:

  1. Go to OpenEduCat > Configuration > Settings
  2. Under Faculty Settings:
    • Set Max Teaching Hours/Week
    • Enable Workload Alerts
  3. Save
