Enter Exam Results
Record student marks after conducting an examination. The system automatically calculates grades and pass/fail status based on configured grade scales.
Time required: 10-30 minutes (depending on class size)
Prerequisites
- Exam Manager or Academic Admin role
- Exam in “Held” state
- Grade configuration set up
- Student marks available
Steps
Step 1: Navigate to the Exam
- Go to OpenEduCat → Exam → Exams
- Open the exam for which you want to enter results
- Verify the exam is in Held state
Note: If exam is in “Scheduled” state, click Hold Exam button first.
Step 2: Open Result Entry
Click the Result smart button or navigate to the Results tab.
Step 3: Enter Marks
For each student in the results table:

Entering Marks
- Click on a student’s row
- Enter marks in the Marks Obtained field
- Press Tab to move to next student
- Grade and status calculate automatically
Step 4: Handle Special Cases
Absent Students
- Leave marks field as 0
- Check the Absent checkbox
- Status will show as “Absent”
Re-examination
For students requiring re-exam:
- Check the Re-exam checkbox
- Add remarks in the Remarks field
Grace Marks (Enterprise)
If grace marks policy is enabled:
- Enter marks as scored
- Click Apply Grace Marks button
- System adds grace marks where applicable
Step 5: Save and Update Status
- Click Save after entering all marks
- Click Set to Result Updated button
- Exam state changes to “Result Updated”
Bulk Result Entry (Enterprise)
For faster entry with large classes:
Import from Spreadsheet
- Click Import Results button
- Download the template file
- Fill marks in Excel/CSV:
Roll Number, Marks2024001, 852024002, 722024003, 91
- Upload completed file
- Click Import
Quick Entry Mode
- Click Quick Entry button
- Simplified grid view appears
- Enter marks using keyboard
- Tab moves between cells
- Enter moves to next row
Result Line View
View all results across exams:
- Go to Exam → Result Line
- Filter by:
- Exam session
- Subject
- Pass/Fail status
- Grade

Status Values

Grade Calculation
Grades are automatically assigned based on grade configuration:
View Grade Configuration
- Go to Exam → Configuration → Grade Configuration
- Each grade has:

| Min Marks | Minimum percentage | 90 |
| Max Marks | Maximum percentage | 100 |
| Points | Grade points | 4.0 |

After entering results:
Exam Statistics
View summary on exam form:
- Total students
- Pass count / percentage
- Fail count / percentage
- Average marks
- Highest / Lowest marks
Result Analysis Report
- Go to Exam → Reports → Result Analysis
- Select filters:
- Exam session
- Course/Batch
- Subject
- View graphical analysis:
- Grade distribution
- Pass/fail ratio
- Performance trends
Troubleshooting
”Cannot enter results - exam not held”
The exam must be in “Held” state:
- Open the exam
- Verify status is “Scheduled”
- Click Hold Exam button
- Then enter results
Grades not calculating
Check grade configuration:
- Go to Grade Configuration
- Verify grade ranges cover 0-100%
- Ensure no gaps in percentage ranges
- Check that grade config is linked to exam type
”Marks exceed total marks”
You cannot enter marks higher than the exam’s total marks:
- Check the exam’s Total Marks field
- Verify entered value is correct
- If total marks is wrong, edit exam first
Results not saving
Ensure:
- You have edit permissions
- All required fields are filled
- No validation errors (check for red fields)
- Click Save before changing state
Student missing from result list
The student may not be an attendee:
- Go to exam’s Attendees tab
- Add the student
- Save
- Return to Results tab
