Enter Exam Results

Record student marks after conducting an examination. The system automatically calculates grades and pass/fail status based on configured grade scales.

Time required: 10-30 minutes (depending on class size)

Prerequisites

  • Exam Manager or Academic Admin role
  • Exam in “Held” state
  • Grade configuration set up
  • Student marks available

Steps

Step 1: Navigate to the Exam

  1. Go to OpenEduCatExamExams
  2. Open the exam for which you want to enter results
  3. Verify the exam is in Held state

Note: If exam is in “Scheduled” state, click Hold Exam button first.

Step 2: Open Result Entry

Click the Result smart button or navigate to the Results tab.

Step 3: Enter Marks

For each student in the results table:

Entering Marks

  1. Click on a student’s row
  2. Enter marks in the Marks Obtained field
  3. Press Tab to move to next student
  4. Grade and status calculate automatically

Step 4: Handle Special Cases

Absent Students

  1. Leave marks field as 0
  2. Check the Absent checkbox
  3. Status will show as “Absent”

Re-examination

For students requiring re-exam:

  1. Check the Re-exam checkbox
  2. Add remarks in the Remarks field

Grace Marks (Enterprise)

If grace marks policy is enabled:

  1. Enter marks as scored
  2. Click Apply Grace Marks button
  3. System adds grace marks where applicable

Step 5: Save and Update Status

  1. Click Save after entering all marks
  2. Click Set to Result Updated button
  3. Exam state changes to “Result Updated”

Bulk Result Entry (Enterprise)

For faster entry with large classes:

Import from Spreadsheet

  1. Click Import Results button
  2. Download the template file
  3. Fill marks in Excel/CSV:
    Roll Number, Marks
    2024001, 85
    2024002, 72
    2024003, 91
  4. Upload completed file
  5. Click Import

Quick Entry Mode

  1. Click Quick Entry button
  2. Simplified grid view appears
  3. Enter marks using keyboard
  4. Tab moves between cells
  5. Enter moves to next row

Result Line View

View all results across exams:

  1. Go to ExamResult Line
  2. Filter by:
    • Exam session
    • Subject
    • Pass/Fail status
    • Grade

Status Values

Grade Calculation

Grades are automatically assigned based on grade configuration:

  1. Go to ExamConfigurationGrade Configuration
  2. Each grade has:

How Grades Calculate

If marks_percentage >= 90: Grade = A
If marks_percentage >= 80: Grade = B+
If marks_percentage >= 70: Grade = B
...and so on

Analytics and Reports

After entering results:

Exam Statistics

View summary on exam form:

  • Total students
  • Pass count / percentage
  • Fail count / percentage
  • Average marks
  • Highest / Lowest marks

Result Analysis Report

  1. Go to ExamReportsResult Analysis
  2. Select filters:
    • Exam session
    • Course/Batch
    • Subject
  3. View graphical analysis:
    • Grade distribution
    • Pass/fail ratio
    • Performance trends

Troubleshooting

”Cannot enter results - exam not held”

The exam must be in “Held” state:

  1. Open the exam
  2. Verify status is “Scheduled”
  3. Click Hold Exam button
  4. Then enter results

Grades not calculating

Check grade configuration:

  1. Go to Grade Configuration
  2. Verify grade ranges cover 0-100%
  3. Ensure no gaps in percentage ranges
  4. Check that grade config is linked to exam type

”Marks exceed total marks”

You cannot enter marks higher than the exam’s total marks:

  1. Check the exam’s Total Marks field
  2. Verify entered value is correct
  3. If total marks is wrong, edit exam first

Results not saving

Ensure:

  • You have edit permissions
  • All required fields are filled
  • No validation errors (check for red fields)
  • Click Save before changing state

Student missing from result list

The student may not be an attendee:

  1. Go to exam’s Attendees tab
  2. Add the student
  3. Save
  4. Return to Results tab
