Create Exam

Set up examinations for your courses with defined subjects, schedules, and evaluation criteria. Exams are organized within exam sessions for structured assessment.

Time required: 5-10 minutes per exam

Prerequisites

  • Exam Manager or Academic Admin role
  • Exam session created
  • Course and subjects configured
  • Exam venues/rooms available

Overview

Creating an exam involves:

  1. Defining exam details within a session
  2. Setting date, time, and venue
  3. Configuring marks and evaluation
  4. Assigning students/attendees

Steps

Step 1: Navigate to Exams

  1. Go to OpenEduCat > Exam > Exams
  2. Click Create to add a new exam

Step 2: Enter Exam Information

Step 7: Add Students

Option A - Auto-populate:

  1. Click Load Attendees
  2. System adds all students from batch
  3. Review and adjust list

Option B - Manual selection:

  1. Go to Attendees tab
  2. Click Add a line
  3. Select students individually

Step 8: Save Exam

Click Save to create the exam.

Supervisor Assignment

Assign exam invigilators:

  1. Go to Supervisors tab
  2. Click Add a line
  3. Select faculty members
  4. Assign room responsibilities

Hall Ticket Generation

After exam is scheduled:

  1. Open the exam record
  2. Click Generate Hall Tickets
  3. Select students (or all)
  4. Hall tickets created for each
  5. Print or email to students

Troubleshooting

”Subject not in session”

Subject must be part of exam session:

  1. Edit the exam session
  2. Add subject to session’s subject list
  3. Return to exam creation

”Student not in batch”

Student not enrolled in course batch:

  1. Verify student enrollment
  2. Check batch assignment
  3. Add student to batch if needed

Cannot schedule - time conflict

Room already booked:

  1. Choose different room
  2. Adjust time slot
  3. Check room availability

Attendees not loading

Check that:

  • Session has correct batch
  • Students enrolled in batch
  • Students have active status
