Manage Classroom Assets

Track physical assets and equipment assigned to classrooms.

Time required: 5-10 minutes per asset

Prerequisites

  • Classroom Manager role
  • Products configured in system
  • Classrooms created

Create an Asset

Step 1: Open Classroom

  1. Go to Classrooms
  2. Open target classroom

Step 2: Navigate to Assets

Click on Asset Management tab.

Step 3: Add Asset

Click Add a line and enter:

Step 4: Save

Click Save. Asset is now tracked in classroom.

Asset Fields

Product Selection

Select from product.product records:

  • Pre-configured equipment
  • Includes unit of measure
  • Links to product details

Asset Code

Use for:

  • Serial numbers
  • Internal asset IDs
  • Barcode references

Quantity

Track multiple identical items:

  • Same product type
  • Same serial (bulk items)
  • Different serial (use separate lines)

View Classroom Assets

From Classroom Form

  1. Open classroom record
  2. View Asset Management tab
  3. See all assigned assets

Asset Management

Update Asset

  1. Open classroom
  2. In Asset Management tab, click on line
  3. Modify fields
  4. Save

Remove Asset

  1. In Asset Management tab, click delete icon
  2. Confirm removal

Transfer Asset

To move asset to another classroom:

  1. Remove from current classroom
  2. Add to new classroom
  3. Maintain same code for tracking

Bulk Asset Operations

Import Assets

  1. Go to Assets list view
  2. FavoritesImport records
  3. Upload CSV with columns:
    • product_id
    • code
    • product_uom_qty
    • asset_id (classroom)

Export Assets

  1. Select assets in list view
  2. ActionExport
  3. Download CSV/Excel

Asset Reporting

View All Assets

  1. Access asset list view (if available)
  2. Filter by classroom

Asset by Classroom

From classroom list:

  1. Check assets column
  2. Click to view details

Integration with Products

Product Requirements

Products used as assets should have:

  • Proper naming
  • Unit of measure
  • Category assignment

Quantity Tracking

  1. Use quantity=1 for individually tracked items
  2. Use higher quantities for bulk identical items
  3. Create separate lines for items with different serials

Audit Trail

  1. Document asset additions
  2. Record transfers between rooms
  3. Maintain change history

Troubleshooting

Product not appearing

Check:

  • Product exists in system
  • Product is active
  • You have read access

Cannot add asset

Verify:

  • You have write permissions
  • Classroom exists
  • Required fields filled

Code uniqueness issues

Asset codes are not enforced unique:

  • Implement naming convention
  • Use room prefix for uniqueness
  • Track in external system if needed

Quantity must be positive

System may require quantity > 0:

  1. Enter valid quantity
  2. Delete line instead of setting to 0
