Overview
Application processing involves:
- Reviewing submitted applications
- Verifying documents and eligibility
- Making admission decisions
- Communicating with applicants
Application Workflow
Draft → Submitted → Under Review → Approved → Confirmed → Enrolled ↓ Rejected| Status | Description | Next Actions |

Review Applications
Step 1: Access Pending Applications
- Go to OpenEduCat > Admission > Applications
- Use filters to find applications:

Step 2: Open Application
- Click on application row to open
- Review all tabs:
- Personal Info - Applicant details
- Academic Info - Previous education
- Documents - Uploaded files
- Internal Notes - Staff comments
Step 3: Verify Information
Personal Information Checklist:
- Name spelled correctly
- Date of birth is valid
- Contact information complete
- Address is verifiable
Academic Verification:
- Previous institution details
- Qualification is genuine
- Grades meet minimum requirements
- No gaps in education history
Document Verification:
- Photo ID is clear and valid
- Transcripts are official
- Certificates are authentic
- All required documents present
Step 4: Add Review Notes
- Go to Internal Notes tab
- Click Log note
- Add your observations
- Notes are visible only to staff
Step 5: Update Status
Click Set Under Review to indicate active processing.
Approve Applications
Single Approval
- Complete application review
- Verify all requirements met
- Click Approve button
- Optional: Add approval comments
Approval Notification
When approved, the system:
- Changes status to Approved
- Sends email to applicant (if configured)
- Logs approval in chatter
- Updates dashboards
Conditional Approval
For applications needing conditions:
- Approve the application
- Add conditions in notes
- Send custom email explaining conditions
- Mark conditions in internal notes
Reject Applications
Step 1: Document Rejection Reason
Before rejecting:
- Review application thoroughly
- Document specific reasons
- Consult with manager if needed
Step 2: Reject Application
- Click Reject button
- Enter rejection reason
- Choose notification preference:
- Send rejection email
- No notification
Common Rejection Reasons

Rejection Notification
Configure rejection email in:
- OpenEduCat > Configuration > Email Templates
- Edit Admission Rejection template
- Customize message and tone
Bulk Processing
Bulk Review
- Go to Applications list view
- Filter by criteria:
- Status: Submitted
- Course: Specific course
- Date range
Bulk Approve
- Select multiple applications (checkboxes)
- Click Action dropdown
- Select Approve Selected
- Confirm the action
Bulk Reject
- Select applications to reject
- Click Action > Reject Selected
- Enter common rejection reason
- Confirm
Export for Review
- Select applications
- Click Action > Export
- Choose fields to export
- Download for offline review

Troubleshooting
Cannot approve application
Problem: Approve button not working.
Solutions:
- Verify status is Submitted or Under Review
- Check you have Admission Officer role
- Ensure all required fields are filled
- Look for validation errors
Applicant not receiving emails
Problem: Notifications not sending.
Solutions:
- Check email configuration
- Verify applicant email is valid
- Check email template exists
- Review outgoing mail queue
Cannot find application
Problem: Application not in list.
Solutions:
- Clear all filters
- Search by applicant name or email
- Check archived applications
- Verify admission register scope
Duplicate applications
Problem: Same person applied multiple times.
Solutions:
- Search by email to find all applications
- Keep most complete application
- Reject duplicates with reason
- Consider merging applicant data
