Create Admission Register
Set up an admission campaign to start accepting student applications for a course or program.

Before You Begin
Ensure you have:
- At least one Course configured
- At least one Batch configured for the course
- Academic Year and Term set up
- (Optional) Fee product created for admission fees
Create the Register
Step 1: Navigate to Admission Register
- From the main menu, click OpenEduCat
- Click Admission
- Click Admission Register
- Click the Create button (top-left)
Step 2: Fill Basic Information
In the form that opens, fill in the following fields:
Campaign Information

💡 Tip: Use descriptive names that include the term and program for easy identification later.
Academic Information

⚠️ Important: The Course field filters which batches are available. Select the course first.
Step 3: Click Save (Partial)
Click Save to save your progress. You can continue configuring or return later.
Configure Seat Limits
Step 4: Set Capacity Limits
In the Limits section:

How Maximum Count Works
When Maximum Count is set:
- System tracks total applications
- Warning shown when 80% capacity reached
- New applications blocked at 100% capacity
- Waitlist available (Enterprise feature)
How Minimum Age Works
- Calculated as: Application Date - Date of Birth
- Applicants below minimum age see validation error
- Age is calculated in years (not days/months)
Set Fee Configuration
Step 5: Configure Admission Fees
In the Fee tab:

To create a fee product first:
- Open a new tab
- Go to Sales > Products > Products
- Click Create
- Enter:
Product Name: “Admission Fee”Product Type: “Service”Sales Price: 500.00
- Click Save
- Return to admission register and select this product
Step 6: Add Course Fee Lines (Optional)
Click Add a line in the fee section to add course-specific fees:

This allows different fees for different courses within the same register.
Activate the Register
Step 7: Review and Confirm
Before activating, verify:
- Campaign name is clear and descriptive
- Start and end dates are correct
- Course selection is correct
- Seat limits are appropriate
- Fees are configured (if applicable)
Step 8: Change State to Open
The register starts in Draft state. To start accepting applications:
- Click the Confirm button (or Start Admission)
- The state changes to Open
- Applications can now be submitted

Troubleshooting
”Course is required” error
Problem: Cannot save without selecting a course.
Solution:
- Go to OpenEduCat > Course > Courses
- Create at least one course
- Return and select it
No batches available
Problem: Course selected but no batches appear.
Solution:
- Go to OpenEduCat > Course > Batches
- Create a batch linked to your course
- Ensure batch dates overlap with admission dates
Applications not appearing
Problem: Students submitted applications but they don’t show.
Solution:
- Check register state is Open
- Verify date range includes today
- Check course matches application
