Configure Emergency Contacts

Set up emergency contact requirements and manage emergency contact information for students and staff.

Time required: 10 minutes

Module: openeducat_core, openeducat_health_enterprise

User role: System Administrator, Administrative Staff

Prerequisites

  • System Administrator or Admin Staff role
  • Student/faculty records exist

Steps

Step 1: Access Emergency Contact Settings

  1. Go to OpenEduCat -> Configuration -> Settings
  2. Navigate to Emergency Contact Settings

Step 2: Configure Requirements

Set emergency contact policies:

Step 3: Define Relationship Types

Create relationship options:

  1. Go to Configuration -> Relationship Types
  2. Add common relationships:

Step 4: Add Emergency Contacts to Records

For students:

  1. Go to OpenEduCat -> Students -> Students
  2. Open student record
  3. Navigate to Emergency Contacts tab
  4. Click Add a line

Step 5: Set Contact Priority

Order contacts by priority:

Step 6: Add Special Instructions

Include important notes:

  • Medical information
  • Communication preferences
  • Availability hours
  • Language preferences

Step 7: Save Configuration

Click Save to store emergency contact information.

Bulk Import Emergency Contacts

For multiple records:

  1. Prepare CSV file with columns:
    • Student ID
    • Contact Name
    • Relationship
    • Phone
  2. Go to Action -> Import
  3. Upload and map fields

Troubleshooting

Cannot save without emergency contact

Emergency contact is mandatory. Add at least one contact to proceed.

Relationship type not available

Create new relationship types in Configuration settings.

Contact not appearing on reports

Verify contact priority is set and contact is marked as active.
